Ledyvas + Zoho Books
Send your purchases and sales from Ledyvas straight into Zoho Books through its API — no CSV, no manual keying. Choose Journals mode (double-entry journals) or Documents mode (invoices, bills, expenses, payments and credit notes). Everything lands as a draft for your accountant to review.
What it does
Ledyvas is a desktop ERP for small businesses in hospitality, tourism and retail. Your team runs the day inside Ledyvas — purchases, inventory, sales, cash, fuel and fleet — and this integration pushes the data into Zoho Books through the Zoho Books API, in whichever mode you choose:
- Journals mode: one balanced double-entry journal per purchase and sale, created as a draft.
- Documents mode: creates the matching invoice, bill or expense, plus customer and vendor payments and credit notes when the document is paid, voided or edited in Ledyvas.
- Optionally creates the vendor and customer contacts that are missing in Zoho Books.
- No duplicates: each document is matched by its reference, both in Ledyvas and against Zoho, before anything is created. Re-syncing a period is always safe.
- If you void or edit a document in Ledyvas, the matching record in Zoho Books is deleted or rebuilt on the next sync.
Which version you need
The Zoho Books connector is part of Ledyvas Enterprise and Ledyvas Ultimate. The "Sync with Zoho Books" screen appears under Quick Actions in both builds. Both editions are subscription-based, through a Ledyvas Partner or directly on ledyvas.com; there is a 14-day free trial with your own data.
- Ledyvas Enterprise — Journals mode and Documents mode, no tax lines. For businesses outside the Dominican Republic or that don't need local fiscal compliance. Try Enterprise.
- Ledyvas Ultimate — everything Enterprise has, plus per-document ITBIS, the NCF (fiscal receipt number) on every purchase and sale, and the DGII 606 / 607 / 608 reports for the Dominican Republic. Try Ultimate.
How to connect
- In Ledyvas, open Quick Actions → Sync with Zoho Books.
- Click Connect with Zoho Books. Your browser opens Zoho's consent screen.
- Approve access. The browser shows "Connected", and Ledyvas finishes the setup automatically.
- If your Zoho account has more than one organization, choose the one to sync to.
Ledyvas never sees your Zoho password, and never stores the OAuth client secret (that lives only on the Ledyvas server). Disconnecting from inside Ledyvas revokes the access at Zoho; you can also revoke it from your Zoho account at any time.
How to sync
- Choose the mode: Journals or Documents (in the sync settings). For Documents mode, set the purchase and sales tax rate Zoho Books should use.
- Choose a date range (From / To).
- Leave "Also create missing vendors and customers" ticked if you want Ledyvas to create them in Zoho Books.
- Optionally open Chart of accounts and map each category to a Zoho account (see below).
- Click Sync now.
The result panel shows how many records were created, skipped (already there), rebuilt or deleted, and how many contacts were created. The three cards at the bottom — Transactions in the period / Already synced / To sync now — refresh whenever you change the date range.
Chart of accounts mapping
By default Ledyvas maps to the standard control accounts (Sales, Cost of goods sold, Other expenses, Undeposited funds) that already exist in a new Zoho Books organization, so the first sync works with no configuration.
To send a category to a specific account, open Chart of accounts, pick the account from the dropdown next to each row, and click Save chart of accounts. Any account name you choose must already exist in your Zoho Books chart of accounts. Accounts receivable / accounts payable are not offered — Zoho requires a contact per line for those, and Ledyvas models each purchase and sale as already settled against Undeposited funds (which you can later reclassify to your real bank account).
Documents mode
In Documents mode, instead of a generic journal, Ledyvas creates the record that matches each operation in Zoho Books:
- Sale to a customer → Invoice.
- Purchase from a vendor → Bill.
- Expense → Expense.
- A payment recorded in Ledyvas → a customer payment / vendor payment applied to the document.
- A voided document that already had a payment → a credit note.
Everything lands as a draft. If a document edited in Ledyvas already has a payment recorded in Zoho Books, Ledyvas leaves it untouched and reports it as a warning ("changes not applied") for your accountant to resolve with a credit note — it never leaves Zoho Books in an inconsistent state.
Dominican Republic — DGII 606 / 607 / 608 (Ledyvas Ultimate)
With the Dominican Republic fiscal localization enabled in Settings → Tax regime, Ledyvas Ultimate:
- Records the NCF (fiscal receipt number) on every purchase and sale, and sends it to Zoho Books with the document.
- Calculates and syncs per-document ITBIS.
- Generates the 606 (purchases), 607 (sales) and 608 (voided NCF) files in TXT and Excel, ready to file with the DGII, from the DGII Reports screen.
The Dominican Republic module is an example of a national fiscal localization. If you need another country's localization, write to info@ledyvas.com: we evaluate each request individually.
Automatic nightly sync
Tick Sync automatically every night (last 120 days). While Ledyvas is open, it runs the sync once a day on its own, covering the last 120 days. The last automatic run and how many records it created are shown under the checkbox.
If you void or edit a document
On the next sync (manual or automatic), Ledyvas compares each already-synced document against its current state in Ledyvas:
- Voided in Ledyvas → the matching journal or document in Zoho Books is deleted (or a credit note is issued if it already had a payment).
- Edited in Ledyvas (date, total or line count changed) → the old record is deleted and a new one is created.
The result panel reports these as "rebuilt" and "deleted".
Frequently asked questions
- Does it work with QuickBooks, Xero, Odoo, Alegra?
- Yes — through file export ("Export to Accounting"). Zoho Books is the only one with a native API sync.
- I already synced this month. Is re-syncing safe?
- Yes. Ledyvas checks each document reference locally and in Zoho before creating anything — no duplicates.
- Where are my Zoho tokens stored?
- In Ledyvas's local database on your computer, encrypted at rest. Ledyvas never stores the OAuth client secret; that lives only on the Ledyvas server.
- What gets written to Zoho Books?
- In Journals mode: only draft manual journals. In Documents mode: invoices, bills, expenses, payments and credit notes, also as drafts. In both cases, optionally, the missing vendor/customer contacts. Ledyvas only reads your chart of accounts, your organizations and existing documents (for the duplicate check).
- Can I disconnect?
- Yes, anytime. Disconnecting from inside Ledyvas revokes the token at Zoho (a best-effort call to Zoho's
token/revokeendpoint) and clears it locally; you can also revoke it from your Zoho account. Anything already synced stays in Zoho Books. - Which OAuth scopes does it request?
- The first connection requests these Zoho Books scopes, each for a specific reason:

- In Journals mode, no — your accountant applies it in Zoho Books. In Ledyvas Ultimate with the Dominican Republic fiscal localization enabled, per-document ITBIS and the NCF do travel to Zoho Books, and Ledyvas also generates the DGII 606 / 607 / 608 reports.
- Is this a free add-on?
- The Zoho Books connector is part of Ledyvas Enterprise and Ledyvas Ultimate, which are subscription products offered through a Ledyvas Partner or on ledyvas.com. It is not sold separately on the marketplace.
